Hispanic Access’ Forestry Program manages $4 million a year in passthrough grants and oversees programming designed to increase equitable access to trees and green spaces, and the many benefits they provide, with a focus on disadvantaged communities. This program will foster new relationships and build capacity in existing community collaboratives composed of faith-leaders, youth, and other local stakeholders across the country. These subawards will apply culturally-relevant, nature-based solutions to address unmet economic, social and environmental challenges.


We are seeking a highly organized and detail-oriented individual to join our Forestry Program as an Administrative Coordinator. In this role, you will play a vital part in ensuring the smooth operation of grant management activities, administrative tasks, and supporting the overall goals of the department.


Grant Management Support:

  • Assist in the management and execution of subcontract agreements, including distributing grant agreements, award letters, and other grant-related documentation.
  • Maintain accurate and organized grant files, records, and documentation.
  • Monitor the grant records for the department and ensure compliance with grant requirements.
  • Assist in the development and implementation of policies and procedures related to grants management.

Meeting and Event Coordination:

  • Work with the Events and Travel Administrative Coordinator (on an as needed basis) to schedule and arrange meetings and site visits for grant activities and departmental needs.
  • Monitor the department email and inquiries, ensuring prompt and appropriate distribution of messages.
  • Support project documentation and note-taking during meetings and correspondence with funders.

Research and Reporting:

  • Research best practices in the content area, grant management, and funding opportunities to support program development.
  • Prepare and distribute reports, presentations, and materials for both internal and external stakeholders.

Financial Administrative Support:

  • Assist with the financial administrative needs of the department as required, including budget tracking and financial reporting.
  • Work with the Finance Manager to resolve any invoicing issues related to subawards.


  • Bachelor's degree or equivalent experience in administration, forestry, environmental studies, or related field (or equivalent work experience).
  • Proven experience in administrative support roles, preferably in a nonprofit or grant-funded environment.
  • Knowledge of contract administration, federal grants, and compliance.
  • Strong organizational skills with meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with database management systems.
  • Experience with Salesforce is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Interest in environmental conservation and forestry initiatives is a plus.
  • The ability and willingness to work in a virtual/remote environment.
  • Bilingual (Spanish and English) is a plus.


This is a fully remote position. The location of the candidate is flexible, however, the Washington, D.C. metro area would be a plus.


The salary range for this position is $50,00-$60,000 annually depending on qualifications and experience.
